Privacy Policy
What you provide
HiveMind stores your account details (your name, email address, sign-in method, profile photo, bio and time zone) and what you choose to keep: thoughts, folders, replies, photos, videos, recordings, drawings, files, messages, films, the people, places and ideas in your Mind, and who you share each thing with.
How it is used
We use this information to run and sync the app, find your things, do what you ask of your Mind, and protect the service. What is private to you is never shown to other people. What you share is shown to the audience you chose, and messages and calls to the people in them. If you let people ask your Mind, it answers them only from what you have shared with them.
AI
AI is optional, and stays off until you turn it on. When it is on, these companies process your content for us: • Your Mind: when you send a passage, chat with your Mind or ask someone’s Mind, what you send and what your Mind reads to answer go to OpenAI, Anthropic or Google. Between your sends, your Mind reads your recent writing the same way to keep your thoughts in order. • Search: OpenAI turns your thoughts and messages into a search index. • Photos and videos: Google describes the photos and videos you add, so your Mind can file and find them. A video is sent as a smaller, shorter copy. • Speech: ElevenLabs turns dictation and recordings into text; dictation goes from your device straight to ElevenLabs. To spell names right, dictation also sends up to 50 names: yours, your friends’, those of the people, places and ideas in your Mind, and your Dictation Words. OpenAI, Anthropic or Google then tidy the words. • Web search: when your Mind searches the web or checks a topic it watches for you, the search goes to Exa and the results come back to your Mind. Your Mind can also open pages and work on websites through the cloud browser described below. • Films: ElevenLabs makes narration, music, sound and, if you record one, a voice of your own that only you can use. fal makes video clips from a description, and Google reviews the film. With AI off, nothing goes to these companies, and dictation uses your device’s own speech recognition. HiveMind does not use your content to train AI models.
Cloud browser and website sign-ins
When you ask your Mind to work on a website, it uses a cloud browser hosted by Vercel. HiveMind keeps the browser’s page addresses, titles, page content and screenshots needed for that work, and your Mind can read and act on those pages. Websites you visit receive the information you enter or ask your Mind to send. If you sign in to a website, HiveMind keeps its cookies and site storage encrypted so the browser and your Mind can use that sign-in again. Closing the browser does not remove these saved sign-ins. You can forget them in Settings → Browser sign-ins; this closes an open cloud browser and removes the saved cookies and site storage. Content already kept in your thoughts or conversations stays until you remove it.
Places and your evening check-in
The evening check-in’s Places and Photos are off until you turn them on. With Places on, your phone notices the places you stay a while, including while the app is closed or not in use. Each place is named on the phone, by Apple on an iPhone and by the phone’s geocoding service (usually Google’s) on Android, and HiveMind receives only its name and when you were there, never its coordinates. With Photos on, the app reads the photos and videos you take each day, including where they were taken, and sends up to six of them as new copies without their location data, each with only the name of the place it was taken. Both are kept for two days so your Mind can ask about your day, and are deleted at once when you turn them off; anything your Mind wrote into a thought stays there. Turning Places or Photos off stops it, and you can take the permission away in your phone’s settings. Photos you add yourself are also sent as copies without location data; from your iPhone’s library, each comes with the name of the place it was taken. When you look up a place, Apple Maps finds it.
Payments
Purchases on the HiveMind website are processed by Stripe, and purchases on iPhone by Apple. HiveMind never sees or stores your card details. We keep a record of what you bought, your remaining credits, and what your Mind’s AI has cost.
Other services
HiveMind runs on Render and Amazon Web Services in the United States, which host its servers, database and private file storage. Apple or Google provide their sign-in options; Resend sends account email; Apple on iPhone, Google’s Firebase Cloud Messaging on Android, and your browser’s push service deliver notifications; and LiveKit carries calls between the people in them. Calls are not recorded.
How providers protect your information
Every company named in this policy processes your information only to provide its part of HiveMind, under terms that require it to protect your information at least as well as this policy does.
Reliability and security
We process session and device identifiers, push tokens, request details and errors to run and protect the service. HiveMind notes which days you use the app and which version, to run the service. Unless you turn off Help improve HiveMind in Settings, the apps also send which screens you open, how long the app stays open, how you answer permission requests, which problems it shows you and when it crashes, never what you write or who you write about. Only HiveMind’s team sees these, they are kept for 13 months, and turning the setting off deletes them. HiveMind has no advertising or third-party analytics trackers. When you report content or an account, the report and what it is about go to HiveMind’s team to review. Access controls restrict private content. No system can guarantee complete security.
Children
HiveMind is not for anyone under 13. We do not knowingly collect information from anyone under 13. If we learn that we have, we delete the account and what is in it.
Retention and deletion
What you keep stays until you remove it or delete your account. A deleted thought stays in Recently deleted for 30 days, then is removed. In Settings → Account you can export your data as one file, which lists your photos and files without including them, and delete your account. Deletion signs out every device and removes your thoughts, media, messages, profile and sign-in details. Your direct chats and chats with Minds are removed for both people; in a group chat, your messages stay and show as from “Someone”. Deletion also removes a voice you made for films and your payment details at Stripe. A subscription bought on iPhone is cancelled in your Apple account. Removed data leaves our backups as they expire.
Where HiveMind operates
HiveMind operates in the United States and processes information there. If you are a California resident you can access, export and delete your information with the tools in Settings or by emailing skyler@hivemindresearch.com. HiveMind does not sell your personal information or share it for advertising.
Your choices and contact
You can edit or remove what you keep, change who sees what you share, stop sharing, turn AI off, stop people asking your Mind, turn off Help improve HiveMind, block accounts and control your device’s permissions, such as location and photo access. Turning a feature off does not erase what you already kept. A request already sent to a provider may finish. For privacy questions or data requests, email skyler@hivemindresearch.com.
